Dates and Fees

How do I book a place at Academic Summer Camps?

Complete our online Booking Form. Choose your programme, location and dates. We will send you a confirmation letter and invoice, you can then pay the £500 initial payment to secure your place. You will receive a login to our parent portal where you can add information such as the flight details and medical, upload documents, and track everything through to arrival to Academic Summer. 

What are the payment terms?

A £500 initial payment is required to confirm your booking. The remaining balance is due at least five weeks before your course starts. We will send you a reminder when the times comes. Payments are made securely through our portal via TransferMate. 

How do I pay?

Pay easily and securely through our Parent Portal via TransferMate. Step-by-step guides are available on our website for both agents and parents. You can pay via a variety of options including by credit card or bank transfer. Please email: info@academiccamp.co.uk if you have any questions or need any help to make your payment. 

What are your cancellation terms?

Fees are non-refundable once paid. As a consumer booking online, you have a 14-day cooling-off period from the date your booking is confirmed.  However, all international boarding students are covered by GuardMe insurance which includes protection against cancellation and curtailment, including visa refusals. Can I change my booking?

Yes, if you need to change your booking we can do this. An administrative fee of £50 applies. Please contact us to discuss and changes at info@academiccamp.co.uk.

Fees and Extras

What is Included in the fees?

Residential Boarding Fees include tuition, teaching materials, accommodation, all meals, insurance, airport transfers on our published dates and all trips and activities.

Day Fees include the full programme Monday to Friday (08.15 to 18.00) and includes lunch. For Career Pathways the departure time is 21.30)

Are there any extra fees?

The following extras may apply depending on your arrangements: 

Airport arrangements outside our standard window or from airports other than Heathrow

Extra nights at £150 (subject to availability and transfer not included)

Weekend trips for day students at £125

UM (Unaccompanied Minor Service) at £50

Laundry at DLD London is not included (pay-as-you-go facilities available on site). Laundry is included at Sidcot School, Bristol

Horse-riding at Sidcot School at £150 for an assessment and an hour's lesson

A £50 admin fee applies to any booking changes. 

What currency are fees charged in?

All fees are charged in British Pounds Sterling (£ GBP). Our payment portal TransferMate supports international bank transfers in many currencies, so you can pay from your own country without needing to converting funds yourself. 

Can my child attend for just one week?

Yes, one-week bookings are available though your child will miss the full experience that two weeks or more gives. Please notes that a transfer surcharge applies for one-week stays as the standard included transfer is designed around our two-week programme dates. Do you offer a sibling or group discounts?

Yes we offer a 5% sibling discount when two or more siblings book onto the same programme season.

Airport Transfers, and Arrivals and Departures

How do airport transfers work?

Free transfers from London Heathrow are included for all residential boarding students arriving and departing on our published dates, with flights between 09.00 and 17.00. 

We use a dedicated hospitality suite at Hilton Terminal 4 (TW6 3AF) where students register, enjoy snacks and refreshments, WiFi, entertainment and a hot meal. It is a chance to have a meal and make new friends before onward travel to Bristol or London by coach.

What should I do if I arrive direct with my parents?

If you arriving at Heathrow Airport with your parents you should come to our registration desk at Hilton Terminal 4 (TW6 3AF). Parents can enjoy a coffee with us. 

If you arriving directly to our host schools, DLD London or Sidcot School Bristol then please arrive between 15.00 and 17.00 on the published arrival Sunday. Do not arrive before 15.00 as rooms are still being prepared. For non-standard arrival days, please contact us in advance to arrive a suitable time.  All departures from campus must be before 11.00 on the departure Sunday.

Do you offer transfers from and to St Pancras for Eurostar Trains?

New for 2026 we are offering transfer from London St Pancras for students arriving or departing on the Eurostar from Europe. 

Arriving in London St Pancras at 11.30, 12.00 or 12.30 (we will meet students and transfer to Hilton Terminal 4 for registration and a meal and then they join the coaches to the schools

Is the price different if we do not need airport transfers?

Our fees are all-inclusive and the same for all students regardless of how you travel to us. The fee covers much more than the coach journey, it includes use of our dedicated student hospitality suite at the Hilton Terminal 4, where students are welcomed, have a hot meal and are looked after before travelling to camp together. It also covers staffing, coordination and insurance from the moment your child arrives at the airport. This wraparound care from the very first moment is part of the Academic Summer experience.

Insurance

What does GuardMe insurance cover?

All individual residential students are covered by GuardMe student travel insurance, included in your fees. For groups there is an option to add the insurance at £15 per person. 

Cover begins once fees are received and your GuardMe certificate is available on the parent portal. Key features: cancellation and curtailment including visa refusals; medical expense up to £10,000,000; 24/7 Digital Doctor service; 24-hour emergency helpline; baggage and personal money; third-party liability up to £2,500,000; no excess. 

Day students are not covered.

What happens in my child's visa is refused?

GuardMe insurance, which we include for individual boarding students, covers cancellaton due to visa refusal. If a visa is refused, contact GuardMe directly to make a claim and you can find the details on your insurance certificate. Academic Summer cannot refund fees in the event of a visa refusal, so the GuardMe is an important protection. We strongly recommend applying for your visa early and ensure that all the correct documents are submitted. 

Visas and ETAS for UK

Do I need a visa to attend Academic Summer in the UK?

It depend on your nationality. Some students need a Standard Visitor Visa and some an Electronic Travel Authorisation (ETA).  Check using the official UK Government tool and check Tourism as your reason for visiting. 

Academic Summer is accredited by the British Accreditation Council (BAC) and can provide a visa support letter once your initial payment has been received. 

What is an ETA and do I need one?

An Electronic Travel Authorisation (ETA) is a digital entry permission for a visitor who does not need a full visa. From April 2025, most European nationals and visitors from countries including the USA, Australia, Japan, UAE and South Korea need an ETA before travelling to the UK. It is linked to your passport and valid for multiple trips over two years.  Apply for an ETA. Decisions usually take up to three working days. Each traveller needs their own ETA, including children. 

How do I get a visa support letter from Academic Summer?

Once your initial payment of £500 has been received, you can request a visa support letter from our team. The letter confirms your programme dates, location and accommodation arrangements. We provide this by email free of charge. The UK Visa and Immigration accepts electronic documents. Our email to request a letter is: info@academiccamp.co.uk

What is an eVisa and how does it work for travel?

A UK eVisa is a digital visa and there is no sticker or vignette in the passport. The visa is held electronically in the UK Visas and Immigration system. Once granted, create a UKVI account to access it.  Make sure the passport you will travel on is linked to your UKVI account before departure. Airlines verify permission electronically at check-in. We recommend you printing your visa decision email and your Academic Summer confirmation letter to carry in your hand luggage. 

Can my child attend Academic Summer on a Child Student Visa?

In some cases, yes. If your child is planning to attend a UK boarding school immediately after Academic Summer their school may be able to include our programme on their Confirmation of Acceptance for Studies (CAS) as a pre-sessional course. Please let us know as early as possible if this applies, and check directly with the sponsoring school. Academic Summer is not a Child Student visa sponsor for long term students and cannot issue a CAS. 

If you are already a student in the UK on a child student visa it is possible to join Academic Summer in your summer holidays. 

My child has an Accompanied Visitor Visa — can they travel to UK alone to attend Academic Summer?

No. An Accompanied Visitor Visa requires your child to travel with the named adult on the visa at all times.  If your child holds an Accompanied Visitor Visa, they will need to apply for a Standard Visitor Visa before travelling or travel to the UK with the person named on the visa. Please do this well in advance of your course start date, as Academic Summer cannot accept responsibility for refusal of entry at the border.

Our diverse community is one o the things students love most about the experience. Students are encouraged to speak English at all times. 

When will I receive the joining information?

We send out detailed joining information before your course starts covering everything you need to know before arrival, what to bring and what to expect. Academic Summer's Handbook is available on your student portal. Login anytime to check your documents and add information. You will be able to access your timetable and bedroom information as well. What is Academic Summer's mobile phone policy?

While UK schools now ban mobile phones, we take a balanced and educational approach that is suitable for an international summer school environment. We believe students should learn to use their phones as tools for communication, research and navigating the world around them. This is a life skill in itself and they will need their phones to use Academic Summer's app. Phones are banned during meals for everyone -  both students and staff, creating space for real conversation and genuine connection. Outside of these times, we encourage responsible use and in some activities we may ask students not to use their phones so they can fully engage and enjoy the activity such as archery or a water fight! 

For our youngest children age 7-10 (Adventurers), phones are not permitted during their summer camp programme. However, every Adventurer has a dedicated time each day to call home, so parents can always stay in touch. If you would like your child to have access to a phone outside this time, please contact us and a parental consent form will need to be completed before arrival.
